Working with Folders

Folders allow you to organize Resources and/or Bookmarks for easier access by users. For example, you could create a Group called Math and then create a folder called Algebra for that group. You can then assign a Resource on the Math Group level, configure that Resource once, and then place it in the Algebra folder. This would keep that Resource separate from non-Algebra Resources, making it easier for users to find the Resources they need.




Adding Folders

To add a folder:

  1. Select Resources to open the Passport Configuration screen.
  1. Select the Organization containing the user, Group, or Role for which you want to create a folder using the Organization Name pull-down menu.
  1. Select the user, Role, or Group for which to add the new folder using the User Roles & Groups pull-down menu.
  1. In the Role/Group section, click the New Folder button.

    The New Folder popup appears.



  1. Enter a unique name for the new folder in the Folder Name field, and then click OK to exit the popup and return to the Passport Configuration screen.

The new folder appears in the Role/Group section when that user, Group, or Role is selected using the User Roles & Groups pull-down menu. You may now place Resources and Bookmarks in the new Folder (see Assigning Resources/Bookmarks; opens a new article) or syndicate that folder (see Syndicating Folders; opens a new article).







Placing Resources in Folders

Before placing a Resource or Bookmark in a folder, that item must already be assigned to the user, Group, or Role that has the folder in which the item will be placed (see Assigning Resources/Bookmarks and Bulk-Assigning Resources/Bookmarks; links open new articles). To place a Resource (or Bookmark) in a folder:

  1. Select Resources to open the Passport Configuration screen.
  1. Select the Organization containing the user, Group, or Role for which you want to create a folder using the Organization Name pull-down menu.
  1. Select the user, Role, or Group containing the folder to which you want to move the Resource(s) or Bookmark(s) using the User Roles & Groups pull-down menu.
  1. In the Resources folder in the Role/Group section of the screen, select the Resource(s) or Bookmark(s) to move by checking the checkbox at the top left of that Resource.
  1. Click the Edit link at the top of the Role/Group section.

    The Edit popup appears.


  1. If desired, enter a new name for the Resource or Bookmark in the Title field.
  1. Use the Place to Folder pull-down menu to select the folder in which to move the selected Resource or Bookmark.
  1. Click OK to close the popup and return to the Passport Configuration screen.

The Resource or Bookmark appears in the selected folder.


Note: You may also click and drag the selected Resource to the proper folder.




Renaming a Folder

To rename a folder:

  1. Select Resources to open the Passport Configuration screen.
  1. Select the Organization containing the user, Group, or Role for which you want to create a folder using the Organization Name pull-down menu.
  1. Select the user, Role, or Group containing the folder to which you want to move the Resource(s) using the User Roles & Groups pull-down menu.
  1. In the Role/Group section of the screen, click the Edit link for the folder you want to rename.

    The Edit Folder popup appears.


  1. Enter the new name for the folder in the Folder Name field.
  1. Click OK to close the popup and return to the Passport Configuration screen.

The folder will appear in the Role/Group section with the new name.





Removing Folders

To remove a folder:

  1. Select Resources to open the Passport Configuration screen.
  1. Select the Organization containing the user, Group, or Role for which you want to create a folder using the Organization Name pull-down menu.
  1. Select the user, Role, or Group containing the folder from which you want to move the Resource(s) or Bookmark(s) using the User Roles & Groups pull-down menu.
  1. In the Role/Group section of the screen, remove the Resource(s) and Bookmark(s) from the folder you are going to delete. See Removing Resources (opens a new article).
  1. Click the Remove link for the folder you want to rename.

    A Confirm popup appears.
  1. Click OK to proceed with deleting the folder. The popup will close and you will return to the Passport Configuration screen.

The deleted folder will no longer appear in the Role/Group section of the screen.
